The Audio/Visuals Collection at the Roberts W. Woodruff Library's Music and Media Library is a pool of audio visuals equipment, readily available for the Emory community.

Booking Procedures

What is a booking?

Bookings allow patrons to reserve equipment they know they will need for a future project in advance.  Bookings are not hold requests, they cannot be used to reserve the next available item.

When do bookings fail?

While bookings reserve an item for you to use at a particular time, our equipment collection is only as reliable as those who borrow the equipment.  Your item may not be available if the previous patron is overdue in returning it.  It may not be available if it was previously returned incomplete or damaged.  We make every effort to supply replacement equipment based on availability, but that cannot be guaranteed.

Why should I book equipment in advance?

Though there are no guarantees in life, booking equipment in advance allows you to schedule equipment to be available when you need it to ensure that your projects are successful. 

Booking equipment in advance is ideal for projects which lend themselves to precise scheduling, for example:

  • Class projects / presentations
  • Concerts or other performances
  • Conference attendance / presentation
  • Interviews
How do I complete a booking request?

You can complete a booking request by downloading the "Equipment Booking Form" Word Document found below and emailing it to the Heilbrun Music and Media library.

Booking Policies

  • Bookings follow our borrowing policies.
  • All bookings received in person, via email, or over the phone require an Equipment Booking Form be filled out.
  • Bookings can be made for a specific date or for multiple days (up to seven days, maximum)
  • All bookings start one hour after opening (see list of hours and exceptions here.)
  • All bookings end one hour prior to closing on their due date (see list of hours and exceptions here.)
  • If an item has not been picked up within the first 48 hours of a booking, the booking will be deleted.
  • Bookings can be made up to one calendar year in advance.
  • If you have less than three days notice, you cannot make a booking, you will need to come to the library and see what equipment is available first come, first served.
  • Bookings can only be made with at least a 48 hour buffer between placing the booking and picking up items.

How this 48-hour buffer works in real life:

If you come in on a Monday to inquire about placing a booking, because of the 48-hour buffer, the earliest available booking start time is for Thursday at 9am:
